Reports to: Administrator of Finance
Job Goal/General Overview: Process and maintain accurate fund accounting records and prepare financial reports for the District including revenue, expenditures and balance sheets
Performance Responsibilities:
1. Provide budget information and compile budget documentation from numerous sources
2. Maintain fund accounting records for the District including revenue, expenditures, and balance sheets
3. Prepare financial reports, as requested, for the school board and administration
4. File State financial reports in a timely manner
5. Record and deposit District revenue in proper bank accounts
6. Manage cash flow for payroll and accounts payable
7. Invest funds in interest-bearing accounts or investments
8. Request financial draws and process loan payments
9. Prepare monthly journal and year-end closing entries
10. Balance cash records to accounting reports and reconcile bank accounts
11. Bid and purchase classroom supplies and equipment
12. Submit public notice financial reports to the newspaper as required by law
13. Provide auditors with year-end journals and documentation in a timely manner
14. Prepare tax levy certifications to the municipalities and monitor tax receipts
15. Oversee the bidding and purchasing of equipment and office supplies
16. Perform other duties as assigned which are fairly within the scope of duties normally performed by clerical employees.

JOB TITLE: FINANCIAL SERVICES MANAGER
SUMMARY:
Provides for the coordination and monitoring of the district budget, requests for proposals, purchasing and copy center. Under the direction of the Director of Financial Services, coordinates bidding and major acquisitions. Provides leadership in the District Financial Services Office for the proper accounting of expenditures and revenues. Assists in the preparation of various financial reports for departments, administrators, and school board.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
- Assists in annual district budget process and District Annual Meeting booklet.
- Prepares non-instructional budgets as directed.
- Reviews invoices for proper authorization and coding.
- Provides treasury management function. Maximizes return on the Districts available resources.
- Oversees the maintenance of budget monitoring systems and monitors budgets.
- Assists financial services office staff by answering questions of a technical nature, problem solving, and assisting with accounting and financial operations that require a higher degree of judgment.
- Coordinates the district-wide purchasing of needed supplies, materials, and equipment, which includes approval of purchase orders according to school board policy.
- Responsible for inventory of fixed assets and other items.
- Oversees the duplicating center, reviews and recommends changes to the District-wide lease program.
- Prepares, assists, and oversees preparation of working papers for annual audit. Serves as liaison between independent auditors and District.
- Provides instruction and answers questions relating to budget procedures and serves as liaison between business office and other departments and sites. Identifies budget issues, provides alternative solutions, and resolves problems.
- Researches and supports acquisition of grants for State and Federal funding.
- Develops and maintains professional working relationships with staff, students, administrators, school board members, and the public to promote the academic programs of the school district.
- Attends meetings and conferences and participates in other activities to promote professional growth.
- Assists in coordination of financial/HR data processing and administrative technology.
- Keeps administration abreast of new financial/HR hardware and software and recommends changes as needed to improve efficiency and cost effectiveness.
- Uses various software applications, such as spreadsheets, databases, and statistical packages to assemble, manipulate and/or format data and/or reports.
SUPERVISORY RESPONSIBILITIES:
As assigned in accordance with the district’s policies and applicable laws.
QUALIFICATION REQUIREMENTS:
